The message lands in a shared mailbox and carries your reference in the subject, so it is on the job before anybody opens it — no model involved, an indexed lookup on the number. The two people who watch that mailbox both see it in the thread, and neither has to forward it to the other.

Linking is deterministic first, intelligent second
When a message carries a reference the link is an indexed lookup on the number — no model, no probability, no wrong guess. AI is only asked when there is no number, and then it proposes rather than decides. Codes are yours: keep your own and the supplier’s side by side, so their reference finds your job too.
Shared mailboxes without a shared password
orders@, projects@, finance@ open beside personal addresses in one window, and access is granted per person. Somebody who may read the operations mailbox does not thereby read finance. Nothing is rerouted and no address changes, so leaving OVIOO leaves your mail exactly as it was.
Checklists follow a job to the end
A confirmed job is not one action, it is six over three weeks. A checklist names each step, what counts as done, and how long it may take — then watches the mail for the thing that closes it. Steps that overrun show as overdue against the job, not against a person.
You choose how much runs without you
Safe mode acts only on deterministic matches and holds anything a model decided. Review everything holds every match, which is where most teams spend their first weeks. Automatic applies as mail arrives. All three log what happened, and every rule action can be undone.
What it will not do
It will not send, delete, archive or link on your behalf. There is no auto-reply to a customer, no rule that empties a mailbox, and no silent merge of two jobs. Every destructive action goes through a thirty-day recovery window rather than disappearing.
Fair questions
No. The addresses, the folders and the history stay where they are — OVIOO connects Microsoft 365, Google Workspace or any IMAP host and reads alongside you. People who prefer Outlook can keep using Outlook; what they send from there still lands on the job. The change is what happens after a message is read, not how it arrives.
Most operations already have one, even if it lives in a spreadsheet — a quote number, a PO, an order ID. OVIOO takes yours rather than imposing its own, and a job can carry several: your number, the customer’s and the supplier’s.
