The engineer knows. The office finds out on Friday.

Service work is a chain of small facts held by different people: what the customer reported, what was found on site, which part was ordered, whether it is under contract. OVIOO puts the whole chain on the job, so whoever picks up the phone next is not starting from nothing.

What changes between the office and the van

A job that carries its own history

The original report, the photos, the part number, the last visit and what was said about it are all on the job. A second call about the same fault opens the same record, not a new one.

Parts on the job that needed them

The order to the supplier, the confirmation and the invoice attach to the job, so what a call actually cost is visible without anybody reconstructing it at month end.

Contracts that do not lapse quietly

Service agreements are documents on the customer, with their dates. Renewals become tasks with an owner, in the same list as everything else that has a date.

Cover when somebody is out

Mark a person away and name their cover: their open jobs offer themselves to the cover and their mailboxes stay readable by whoever was granted them, before the next customer calls.

One call, end to end

1
Fault reported
by email, into a shared mailbox
2
Job opened
a reference, with the customer and the site
3
Attended
findings, photos and notes on the job
4
Part ordered
supplier correspondence and invoice attached
5
Closed and billed
the report issued, the charges on the same record

The customer sees their own equipment

A portal in your brand gives each customer their own jobs and reports, the documents you chose to share, and a place to raise the next one — an authorised view over your records, never a copy.

What it replaces between the office and the van

The job sheet, the parts note and the contract renewal that lives in somebody’s calendar.

The workaround today
In OVIOO
A job sheet that ends when the visit does
A job that keeps its report, parts, costs and correspondence
A second call opening a second record
The same fault reopening the same job
A part ordered and remembered, not recorded
The supplier order and invoice attached to the job
Contract renewals in one person’s calendar
Dates as tasks with an owner, in the same list as everything
Working out what a call cost at month end
The costs already on the job that incurred them
Customers ringing to ask for a report
A portal with their jobs and reports on it

Fair questions

No. There is no engineer scheduling board, no route optimisation and no live tracking. It holds the job — what was reported, what was found, what was ordered, what it cost and what was said — which is the part that usually survives only as email and memory.

A customer’s equipment can be a record with its own history of jobs, but there is no serial-number asset register with warranty logic. If asset lifecycle management is the core need, this is not that tool.

Anything emailed from site — photos, notes, a signed sheet — lands on the job. The desktop app runs on Windows, macOS and Linux; there is no dedicated mobile app today, and saying otherwise would be inventing one.

Mark them away and name their cover. Their open jobs offer themselves to the cover and their mailboxes stay readable by whoever was already granted them, so the next customer call is answerable.

See it on your own work.
