It is not a CRM bolted on the side
A CRM creates a second place where somebody retypes what already happened in email, and it is out of date by Tuesday. Here the company, its people, its addresses, its jobs and its money are one record — the same one operations and finance work on. Nothing has to be kept in step because there is nothing to keep in step with.
Answers cite their sources
When you ask what was offered last time, the answer arrives with the messages, documents and activity it was built from, and you can open each one. An answer you cannot check is a guess, and a guess in front of a customer is expensive.
A quote is a document, with a history
Generated from your own PDF template with fields filled from the record, kept as the version that was sent, to whom and when. When a customer says “your quote said”, the exact file they hold is one click away rather than a reconstruction.
It only ever searches what you may already open
A question is answered from the records the person asking has access to, never from the whole company. Somebody who cannot open a job cannot learn its contents by asking about it a different way.
What it will not do
No automatic replies to customers, no sequences, no drip campaigns, no lead scoring. OVIOO is not a marketing tool and does not pretend to be one. It also cannot send anything on your behalf — every message leaves because a person pressed send.
Fair questions
It holds what a CRM would claim — companies, contacts, enquiries, quotes, history — but it starts from the other end. A CRM asks people to record what happened; OVIOO reads what the company already produced and builds the record from it. If your problem is that the CRM is always out of date, that is the problem this addresses.
Companies and contacts can be brought in, and OVIOO also recognises them from correspondence as mail arrives, so the list fills itself even if you import nothing. There is no migration project standing between connecting a mailbox and getting value.
It tracks enquiries and quotes as records with states and dates, and the Business workspace reports on what is open, won and owed. It does not do weighted forecasting, commission plans or sales targets — if that is the centre of your need, this is not the tool for it.
It cannot email a customer at all. AI drafts a reply into the composer for a person to read, edit and send; there is no path by which a proposal becomes an outbound message without somebody pressing send.
