See the operation without interrogating it.
Owners and managers need the picture without another weekly meeting and without watching people. Management is where the cost of not knowing shows up late, and expensively.

- Doing well: finance backlog cleared, 9 jobs closed.
- Needs support: Daniel carries Marta’s handover — consider redistributing 4 references.
- Potential blocker: 3 jobs waiting on one supplier for 5+ days.
What it looks like today
- The Friday status meeting exists to collect what the system should already know.
- A bottleneck is discovered when a customer complains about it.
- Nobody is sure who can approve what, so everything routes through one person.
A week, without the status meeting
What an owner or a manager actually needs to know, and when it becomes visible.
- Monday
The home page says what needs you
Waiting on you, overdue, decisions pending, active work — then what needs attention and what is stuck. Nothing was compiled for it; it is the state of the company as the work left it on Friday.
- Tuesday
A bottleneck shows before a customer finds it
One desk is carrying twice the open work of the others, and three jobs have been waiting on the same supplier for over a week. Both are readable from the work itself rather than from asking, which means they are readable early.
- Wednesday
An approval reaches the right person
A payment above the department’s limit routes to whoever holds it. You are not in the chain unless your own limits put you there — which is the difference between oversight and being a bottleneck.
- Thursday
A new admin gets exactly what they need
Capabilities are granted per person, and the ones that touch money, AI spend, mailbox connection and membership stay reserved to the owner. You hand over a piece of the job without handing over the company.
- Friday
The money picture is a view, not an exercise
What is owed and owing per currency, with aging and a cash-flow view over real due dates rather than an estimate. The Friday meeting, if it still happens, is about decisions instead of about collecting facts.
What changes
A home page that says what needs you
Waiting on you, overdue, decisions pending, active work — then what needs attention and what is stuck. Nothing to compile; it is the state of the company right now.
Progress read from the work
Jobs moved, mail handled, documents created, by person and period. Business activity inside OVIOO — never screenshots, never keystrokes, never anything a person did not do in the product.
Structure that matches reality
Company, departments, teams and people, with capabilities per role and per person. Money, AI spend and membership stay owner-reserved and are granted one admin at a time.
Money you can act on
What is owed and owing per currency, with aging and a cash-flow view over real due dates rather than a guess.
What it replaces
Mostly meetings, and the reports people build to survive them.
From work done to decision made
The line this does not cross
Visibility that a team can live with is a design constraint, not a marketing line.
It measures work, never people
Jobs moved, mail handled, documents created, by person and period — business activity inside OVIOO. There are no screenshots, no keystroke counts, no idle timers, no location, and nothing about what somebody did outside the product. A tool that surveils is a tool a team routes around.
Owner is not the same as admin
AI spend and limits, team productivity, billing, mailbox connection and member creation are reserved to the owner. An admin gets one of them only through a per-person grant the owner writes, and transferring the organisation is never grantable. The rule is enforced in the database, not just in the interface.
Structure that routes, not decorates
Departments and teams are where work and money actually go — a request or a payable is routed to one. Because the structure carries the routing, keeping it accurate has a reason beyond tidiness.
Every module is a choice
The workspace — mail, references, tasks, documents — is what every company starts with. Business modules are switched on one at a time by the owner, and a module nobody enables is not in anybody’s navigation. Switching one off later closes the door without deleting a record.
What it will not do
No timesheets, no utilisation targets, no performance scores, and no ranking of people against each other. It will not tell you who is slowest. It will tell you where work is stuck, which is the thing you can actually fix.
Fair questions
No, and the boundary is deliberate. It reports business activity inside the product — work moved, mail handled, documents created. It does not capture screens, keystrokes, idle time, location or anything outside OVIOO. If a team believes they are being watched they will keep the real work somewhere else, and then the record is worthless.
No. Those are owner-reserved, along with team productivity, mailbox connection and member creation. You grant one of them to a named admin if you want to, and you can take it back. Transferring ownership of the organisation cannot be granted at all.
The workspace itself — mail, references, tasks, documents, search and coverage — is the whole product for a company that never enables a module. Management reporting, finance and the client portal are switched on when you want them, by you.
Pricing is per seat and the Business workspace is included rather than sold as a tier above. What a seat may do is a matter of capabilities, not of buying a bigger plan for one person.
